What you need to know

To back up your data, you can export course structures and archive course content. This HelpCard describes how to archive and export data.

You can only archive courses in which you are entered as the owner!

Please note: For data protection and copyright reasons, the export of personal data and content is only permitted for course and study-related purposes to the extent absolutely necessary. Exported data must be completely deleted after the intended use has been fulfilled; publication, transfer to third parties or use for other purposes is generally not permitted. The responsibility for the GDPR-compliant handling of personal data lies with you after the download.

What you need to do

Exporting and importing courses

Use the Export content function if you want to archive the course structure and course content without participant data. The archived files can then be transferred to another learning management system, for example.

Export course

  1. Click on Authoring and open the course you want to export
  2. In your course, click Administration at the top left and Export content at the bottom of the drop-down menu.
  3. A .zip file will now be downloaded. You can import this file back into OpenOlat later.

Importing a course

  1. In Authoring, klick on Import file . The import window opens.
  2. Select the desired file and give the course a name.
  3. Finally, click on Import. You are now in the course settings.

The course archive

Use the Archiving function if you want to archive pure participant data such as test results for documentation purposes. This data cannot be imported again.

Create course archives

  1. Open the course for which you want to create an archive.
  2. Click Administration in the top left-hand corner of your course.
  3. Click on Archiving & Reporting in the drop-down menu.
  4. Under Course archiving , click on Create archive. The Archive course window opens.
  5. Choose between
    • Complete archive: An archive is created for the entire course.
    • Partial archive: You can select the modules for which an archive is to be created.
  6. Click on Next.
  7. Make further settings and then click Finish. The archive is now created.

Manage archives

  1. Click Administration in the top left-hand corner of your course.
  2. Click on Archiving & Reporting in the drop-down menu.
  3. Choose between All archives, Complete archives and Partial archives.
  4. Select one of the following options for the desired archive:
    • Info: View metadata about the archive.
    • Delete: Delete the archive.
    • Download: Download the archive to your device.

Further options

Transfer content from other courses

You can transfer modules or entire course structures from existing courses, provided you are entered as the owner of both courses. This function is available to you both directly when creating a course and at a later date. You can find out how to do this at HelpCard 10-050.
