In the following, we will inform you about the basic aspects of data processing within the administration of the University and State Library of Tyrol (ULB Tirol) in accordance with data protection regulations.
1. Purpose
Data processing is carried out for the following purposes:
- Use, lending and utilisation of media (books, journals, AV media, e-media) at the ULB Tirol
- Registration of usage rights, administration of overdue fines, etc. in accordance with the usage regulations of the ULB Tirol
- Other services, in particular scanning orders, registration for training courses and events, reservation of rooms, reservation of reading places, suggestions for media orders.
- In order to protect the property of the ULB Tirol, to fulfil duties of public safety and contractual liability etc. and for the purpose of preventing and investigating behaviour relevant to criminal law, video surveillance is carried out in the Library of Classical Studies and in the reading room of the Department of Special Collections
2. Processed data
The ULB Tirol processes personal data, in particular personal data (e.g. first and last name, address, library ID, e-mail address) as well as transaction data (e.g. loans, orders, reservations, fees).
3. Legal basis
The ULB Tirol processes personal data to fulfil a task that is in the public interest and has been assigned to us by the legislator Art 6 para 1 lit e GDPR in conjunction with UG 2002 and the user regulations of the ULB Tirol.
The processing of personal data also takes place
- for students in fulfilment of a legal obligation within the meaning of Art 6 para 1 lit c GDPR in conjunction with § 59Abs1Z4UG2002
- for external users for the fulfilment of a contract to which the data subject is a party or for the implementation of pre-contractual measures taken at the request of the data subject (Art 6 para 1 lit b GDPR)
- for the purpose of asserting any default or reminder fees and claims for damages on the basis of Art. 6 para. 1 lit. f GDPR (processing to safeguard our legitimate interests)
- for the purpose of video surveillance on the basis of Article 6(1)(f) GDPR (processing for the purposes of our legitimate interests). The legitimate interest arises from the purpose described above
Without the provision of personal data, ULB Tirol cannot fulfil the tasks assigned to it by law or meet its contractual obligations.

Information according to Art 14 GDPR
The Medical University of Innsbruck and the Management Centre Innsbruck MCI transmit the data of their students and employees to the ULB Tirol if they have consented to the processing of their personal data (Art 6 para 1 lit a GDPR).
4. Recipients
The ULB Tirol passes on your data to the following recipients or categories of recipients:
- Ex Libris GmbH as processor (servicing of the library management system ALMA)
- Nub Games, Inc. as processor (BibChat LibraryH3lp)
- anny GmbH as processor (reservation of reading places)
- If necessary, to OKO GmbH Co KG, Linz for the purpose of collecting reminder fees in accordance with Art 6 para 1 lit f GDPR
- In the event of video surveillance data: to security authorities for the provision of evidence in criminal law matters, to the public prosecutor's office for the provision of evidence in criminal law matters, to the courts for the provision of evidence in criminal law or civil law matters, to insurance companies exclusively for the processing of insurance claims
The data will not be transferred to a third country (other EU or EEA countries) or to an international organisation.
5. Storage period
The ULB Tirol stores personal data for the period of validity of the library card plus 1 year. Transaction data (loans, reservations, orders) are generally anonymised after 90 days; in the event that fees have been incurred, after 7 years in accordance with the statutory retention obligation. We delete e-mail correspondence after 365 days. Book reservations are automatically deleted after 14 days. The data in BibChat will be deleted after the end of the chat.
