Microsoft 365 for employees of the University of Innsbruck

Due to delays in setting up the Microsoft 365 offer at the University of Innsbruck, Microsoft 365 is temporarily unavailable for private devices for employees.
For more information, please refer to the FAQs.

 

The University of Innsbruck provides employees with a free installation of Microsoft 365 for business use on their private devices.

This does not include online services such as Microsoft OneDrive, Microsoft Teams, etc., but only the Microsoft 365 Office programs (Word, Excel, etc.).

Please note that the ZID only issues access authorizations for employees, but cannot provide any direct support beyond this. The license for free use is valid for the duration of your employment at the University of Innsbruck.

Activation and installation of Microsoft 365 for employees

To be able to use the Microsoft 365 programs on your private device, you must activate Microsoft 365 for your university account before you can carry out the installation. Below you will find the instructions for activation and installation.

Activation of Microsoft 365 in the Account Service for employees

If you want to use this service, activate Microsoft 365 for your account:

  1. Open https://accounts.uibk.ac.at and click on Login.
  2. Login with your username and password.
  3. Under Optionale Services, click on
  4. Click Opt in to activate the service.

Registration and installation

  1. Open https://cloud.microsoft and in the upper right corner click Sign in.
  2. Use as username YourUniversityUsername@uibk.ac.at (e.g. c123456@uibk.ac.at) and click NextYou will be redirected to the university login page.
  3. Enter your university password and click Sign in. The window Verification Required opens.
  4. Click Continue.
  5. Carry out two-factor authentication.
  6. You are now on the Microsoft 365 landing page.
  7. In the menu on the left click Apps.
  8. On the upper right corner click Install apps. A drop-down menu opens.
  9. Click Microsoft 365 Apps. You are forwarded to the download page.
  10. Click Install Office to download the installation file.
  11. Open the file Office.Setup.exe and follow the instructions. Please note that the installation may take some time.
  12. Microsoft 365 is installed on your device as soon as the download is complete.
  13. As soon as you open a Microsoft 365 program, you will be asked to log in again.
  14. Click on Sign in or create an account and as your username enter username@uibk.ac.at. You will be redirected to the university login page.
  15. Login with your username and password from the university and click Sign In.
  16. Carry out two-factor authentication
  17. You can now use the Microsoft 365 programs on your device.

Microsoft Web-Apps

You have online access to Microsoft 365 programs without having to install them on your device. The following describes how you can use the programs online:

  1. Open https://cloud.microsoft.
  2. Use as username username@lfu.at and click LoginYou will be redirected to the university login page.
  3. Login with your username and password.
  4. Carry out two-factor authentication. You are now on the Microsoft 365 landing page.
  5. Click on Apps in the left-hand menu bar.
  6. Select the Microsoft 365 program you want to work with online.

Mobile applications

To access the mobile applications, please install them from the Apple Store, Google Play or the Microsoft Store. When accessing the application, enter your e-mail address and you will be redirected to the university's login page.

The University of Innsbruck offers students free access to Microsoft 365. You can use the following Microsoft 365 services for the duration of your studies:

  • Microsoft 365 for PC and Mac
    Microsoft programs installed locally on the PC or Mac
  • Mobile Microsoft applications
    Microsoft-Applications for Android, iOS and Windows Phone

Please note that the ZID only issues access authorizations for students and cannot provide any further direct support (in particular for individual products and their functionality).

FAQs

Which offers are affected?

  • Microsoft 365 Apps (Office-Download for Students)
  • Microsoft 365 Apps (Office 365) at home for employees
  • OneDrive for students
  • Individual special applications (Power BI, Minecraft Education, Teams, …)

Other university services (OpenOlat, email, etc.) are NOT affected.

By when do I need to back up my data?

Please back up your data as soon as possible. As of August 31th, your data will no longer be available.

Which data do I need to back up?

  • Data stored in OneDrive
  • Data stored in Teams (chat data or regular files)

Files from, for example, Word or Excel that are saved locally on the device in the file manager will NOT be lost. However, any automatic synchronization to OneDrive will no longer be possible.

How can I backup my data?

Transfer data to Fileshare

Transfer your data to Fileshare. You can find more information about fileshare in the service description. If you do not have enough storage space, please contact zid-service@uibk.ac.at.

Store data locally

If the amount of data is small, you can store your data locally on your PC, for example.

Transfer data to a mobile device

Transfer your data to an external hard disk drive (HDD). This is only worthwhile from a data volume of 500GB

From when will the service be available again?

The exact date when the new version of Microsoft 365 will be released is currently unclear. However, we assume that the successor will be available in the winter semester. Unfortunately, we do not have any further information on the product details at this time.

How can I log in until the 31th of August?

The login name has the standardized format username@lfu.at for both students and employees.

Why do I have to use @lfu.at instead of @uibk.ac.at to log in?

This measure is only necessary until the complete changeover in autum 2025 in order to support the changeover process. The uibk.ac.at domain will thus be detached from the old client and made available for the new client.

Do I need to adjust my Outlook or other mail accounts?

No, your e-mail address will remain the same and no changes need to be made in Outlook or other e-mail programs.

What happens to my data on OneDrive?

Your data will be available in the OneDrive service until August 31th, 2025. However, this can no longer be guaranteed from September 1st. Back up the data stored in it yourself, as the ZID does not support the OneDrive service.

Will the OneDrive service still be available from autum 2025?

Yes, but the conditions still need to be worked out. Microsoft has severely restricted the storage capacity offered to educational institutions in its current form.

Why is the OneDrive data not being transferred from the ZID to the new client?

Like stated in Microsoft Office 365 – Universität Innsbruck OneDrive was not an official service of the ZID. The ZID only issued access authorizations and was unable to provide any further direct support (in particular for individual products and their functionality). For this reason, data backups must also be carried out by the users themselves.

Why does the OneDrive link in the Teams app no longer work?

After a UPN change, accessing the OneDrive app in Microsoft Teams can lead to an error: 404 file not found. The following workaround is available:

  1. Create a Chatroom with another user.

  2. In the message field, select Actions and apps > Attach file > Upload from this device.

  3. Select a file and click on Open. It is not necessary to send the file.

  4. The OneDrive link should now work again.

Does the change mean that I can no longer use Word, Excel or PowerPoint?

You can continue to use the Microsoft programs installed locally on your end device as usual. Please do not use Onedrive as a storage location.

How can I reduce the amount of data?

Delete any data you no longer need.

  • Delete especially large data: You can sort the displayed files in descending order by size in various storage systems. This means that the largest files are listed at the top.
  • Delete duplicate files: Some files may be duplicated or have outdated versions. Many storage systems offer the option of displaying duplicate files. You can also get an overview by sorting the files by name.
